How a work order moves

Each stage hands over to the next with a record attached: who decided, when, with which photos and documents. Nothing waits in someone's inbox without the supervisor seeing it.

  1. Import the purchase order

    Upload the client's PO as a PDF. Each line becomes a work order with its site location, contact person and value.

  2. Survey the site

    An assigned surveyor checks in at the site and recommends accepting or rejecting the job, with remarks and photos.

  3. Accept or decline

    Accept to move ahead. Decline, and the client receives an email saying the work order was declined and why.

  4. Apply for permits

    Generate the permit application, email it to the authority, and file the permit in the work order's documents when it arrives.

  5. Form the team

    Pick a team lead and members from staff who are free. The team stays with the work order until it is complete.

  6. Work on site

    The crew punches in inside the site fence. Updates with photos arrive every two hours, and the lead records daily hours and site expenses.

  7. Complete and report

    Before and after photos and a completion form produce a customer report PDF, emailed to the client.

  8. Invoice and collect

    Raise a GST invoice that carries the PO and work order references, record payments, and keep each client's ledger current.
